Juvenology Clinic Policies

Bookings, cancellations, treatment suitability and complaints

These policies explain what to expect when booking and attending Juvenology Clinic at 82 King Street, Maidstone, Kent ME14 1BH.

Booking Your Appointment

  • Appointments are booked through our current booking system or by contacting the clinic.

  • Please check your appointment details and any preparation instructions before attending.

  • Booking an appointment does not guarantee that a particular treatment will be suitable or provided.

  • Your practitioner will assess suitability before treatment is agreed.

Prices and Deposits

  • The price of your appointment and any required deposit will be explained before you confirm your booking.

  • We will explain whether your appointment is for a consultation, treatment or both.

  • Any consultation fee is separate from treatment unless we expressly state otherwise.

  • Additional costs will be explained before you agree to them.

  • Where a deposit is required, we will explain before payment:

    • The deposit amount.

    • How it is applied to your appointment.

    • The circumstances in which it may be retained.

    •

Cancellations and Rescheduling

Please give at least 48 hours notice if you need to cancel or reschedule.

You can contact the clinic by telephone or email, or use the cancellation or rescheduling option provided with your booking where available.

  • Any late-cancellation or missed-appointment charge must have been explained before booking.

  • Charges or retained payments will be proportionate to the loss caused by the cancellation.

  • We will take account of costs saved and whether the appointment can be filled.

  • We will not charge twice for the same loss.

  • If illness or an emergency affects your appointment, please contact us as soon as possible. We will consider the circumstances individually.

Late Arrival

  • Please arrive on time.

  • If you are late, we may need to shorten or reschedule your appointment where there is insufficient time to carry out the assessment or treatment safely.

  • Any charge will follow the terms explained before booking and the cancellation principles above.

If We Cancel

If we cancel your appointment:

  • We will contact you as soon as reasonably possible.

  • You can choose a suitable alternative appointment or a refund of payments for the cancelled service.

  • You will not be required to accept credit instead of a refund.

Consultation and Treatment Suitability

Please provide accurate information about:

  • Your medical history.

  • Medicines and supplements.

  • Allergies.

  • Previous treatments.

  • Changes in your health, including pregnancy or breastfeeding where relevant.

Before you decide whether to proceed, your practitioner will discuss:

  • The proposed treatment.

  • Expected benefits and limitations.

  • Risks and alternatives.

  • Aftercare.

You can ask questions and decline treatment.

Treatment may be postponed or declined where it would be unsafe, unsuitable or outside the practitioner's professional scope.

Any fee for an assessment already provided must have been explained beforehand. Payments for treatment not provided will be addressed fairly and in accordance with your legal rights.

Results and Aftercare

  • Results vary between individuals.

  • Photographs, descriptions and examples do not guarantee a particular outcome or duration.

  • Please follow the preparation and aftercare instructions provided.

  • Contact the clinic if you have concerns.

  • Any review appointment, further treatment or additional cost will be explained before it is agreed.

The clinic is not an emergency service. If you believe you are experiencing a medical emergency, call 999 or attend A&E.

Refunds and Your Rights

A change of mind after a properly provided treatment does not automatically entitle you to a refund. However, this does not remove your rights if a service:

  • Was not provided with reasonable care and skill.

  • Did not meet what was agreed.

We will consider concerns individually and discuss an appropriate remedy.

  • Further treatment will only be considered where clinically appropriate and with your agreement.

  • Where required, a price reduction or refund will be provided.

  • Any statutory cancellation rights that apply to your booking remain unaffected.

Nothing in these policies excludes liability that cannot lawfully be excluded or limits your statutory rights.

Complaints and Concerns

If you are unhappy with your experience, contact the clinic and provide:

  • Your name.

  • Your appointment date.

  • A description of your concern.

We will:

  • Acknowledge your complaint.

  • Explain how it will be reviewed.

  • Let you know when to expect a response.

  • Keep you informed where an investigation takes longer.

Raising a complaint will not affect your right to appropriate care.

If your concern involves a possible treatment complication, contact us promptly rather than waiting for a formal complaint response.

Respectful Conduct and Accessibility

  • We ask everyone to treat staff and other clients respectfully.

  • Threatening or abusive behaviour may lead to an appointment being ended or declined.

  • Any payment adjustment will be considered fairly in light of the circumstances.

  • Please tell us before your appointment if you need communication support or adjustments so we can discuss how best to support you.
